Privacy Policy

This Privacy Policy explains how Dynamic Employment Services LLC, operating the Dynamic Freelancer brand, collects, uses, shares, stores and protects personal data when you use the Website, submit an enquiry, apply for or use a Membership, use the Platform, attend an event, purchase a Separate Service or otherwise interact with us.

01Who controls your personal data

Dynamic Employment Services LLC, trade licence number 744012, is the controller of personal data processed for the Dynamic Freelancer Website, Platform, Memberships and Separate Services, unless another notice or document identifies a different controller for a particular activity.

Our business address is Office 1006, 10th Floor, Marina Plaza, Dubai Marina, Dubai, United Arab Emirates. Privacy questions and requests may be sent to support@dynamicfreelancer.ae with the subject line "Privacy Request".

02Scope of this Policy

This Policy applies to Website visitors, prospective applicants, applicants, Members, authorised Platform users, event participants, client contacts, suppliers and people who contact us. It also applies where we process personal data to assess eligibility, administer a Membership, support work-authorisation or residence processes, operate an applicable employment arrangement, administer client assignments or invoicing, provide support or comply with law.

Independent Authorities, insurers, medical providers, banks, payment providers, clients and Partner Services may process personal data under their own legal duties and privacy notices. This Policy does not control their independent processing.

03Personal data we collect

Depending on your relationship with us, we may collect:

  • identity and contact data, including name, nationality, date of birth, photograph, signature, address, email address and telephone number;
  • official document data, including passport, Emirates ID, residence, immigration, entry status, work-authorisation and related reference numbers or copies;
  • professional and eligibility data, including occupation, qualifications, experience, portfolio, professional activity, client and assignment information;
  • membership and account data, including selected Membership, account credentials, preferences, support requests, event participation and community activity;
  • employment and payroll data where applicable, including official contract information, WPS and payroll records, bank details, remuneration records, attendance or assignment records and offboarding information;
  • financial and transaction data, including quotations, invoices, payments, refunds, client payment records, tax information and banking details;
  • health, medical, insurance or other sensitive data where required for an official medical fitness, insurance, employment, residence or legal process;
  • client and business-contact data supplied for assignment registration, contracting, invoicing, payment administration or support;
  • communications, including emails, telephone or messaging records, meeting notes, complaints, surveys and consent records;
  • technical and usage data, including IP address, device, browser, login, security, cookie, Website navigation and Platform activity data; and
  • information obtained from Authorities, service providers, clients, referees, publicly available professional sources or other lawful sources.

We ask only for data reasonably needed for the relevant purpose. If required data is not provided, we may be unable to assess eligibility, provide a Membership, complete an Authority process, administer an assignment or meet a legal obligation.

04How we collect personal data

We collect personal data directly from you through forms, applications, contracts, the Platform, payments, support requests, calls, messages, meetings and events. We may also receive data from a person authorised by you, a client, an Authority, an insurer, a medical or typing provider, a payment or banking provider, a referral source, a professional adviser, a Partner Service or another lawful source.

We collect technical data automatically through server logs, security tools, cookies and similar technologies. Non-essential cookies are used according to the choices available through the Website's consent tool.

05Why we use personal data

We may use personal data to:

  • respond to enquiries and provide requested information;
  • assess eligibility and suitability for a Membership or Separate Service;
  • prepare quotations, contracts, invoices and onboarding documents;
  • create and administer Website or Platform accounts;
  • provide Membership benefits, member support, events, community and service requests;
  • administer applicable work-authorisation, employment, payroll, insurance, medical, residence, Emirates ID, renewal and offboarding processes;
  • review, register and administer clients and assignments;
  • issue or manage invoices, receive payments, administer payroll or settlement amounts and process refunds;
  • verify identity, prevent fraud, secure systems, enforce agreements and investigate complaints;
  • comply with legal, regulatory, tax, accounting, employment, immigration, insurance, audit and Authority requirements;
  • measure and improve the Website, Platform, Memberships, support and events;
  • send operational messages and, where permitted, marketing communications; and
  • establish, exercise or defend legal claims and protect the rights, safety and property of DES, Members, clients and others.

07Employment, work-authorisation and residence data

The selected Membership may require us to process information for work-authorisation, employment or residence purposes. Freelancer Membership does not include residence sponsorship through DES. Freelancer Membership - 1 Year and Freelancer Membership - 2 Years may include an employment, work-authorisation and residence sponsorship arrangement if you are accepted and the required documents take effect.

For these purposes, we may disclose required data to MOHRE, immigration and identity Authorities, medical fitness providers, insurers, typing or application centres, payroll and WPS providers, banks, auditors and professional advisers. Those recipients receive only the data reasonably required for the relevant process and may have their own legal obligations.

08Client, assignment, invoicing and payroll data

Where DES administers a client assignment, we may process information about the client, scope, activity, contract, milestones, timesheets, invoice, payment and Member remuneration. DES may share the data needed to register or administer the assignment with the client, relevant service providers and Authorities.

Client contact details must be provided lawfully. Members must not upload confidential client data that is unnecessary for the approved process.

09Cookies, analytics and advertising

The Website may use strictly necessary cookies for security, navigation and core functionality. With the applicable consent, it may also use analytics, preference and advertising cookies to understand Website use, measure campaigns and improve communications.

You can accept, reject or adjust non-essential cookie categories through the consent tool where available. You can also control cookies through your browser, although blocking strictly necessary cookies may affect functionality. The cookie tool should be consulted for the current cookie names, providers, purposes and durations.

10Marketing communications

We may send marketing by email, telephone or messaging where you have consented or where another lawful basis permits it. Marketing consent is separate from acceptance of a Membership and may be withdrawn at any time by using an unsubscribe method or contacting us.

We do not sell personal data. We do not give sponsors, advertisers, partners or clients unrestricted access to applicant or Member data for their own marketing. Where a third-party offer is presented, we will either communicate it ourselves or ask for the appropriate permission before sharing data for that purpose.

11Who receives personal data

We may disclose personal data, where necessary and lawful, to:

  • UAE Authorities and official service centres;
  • insurers, medical providers, typing centres, banks, payment processors, payroll or WPS providers and couriers;
  • clients involved in an approved assignment and persons authorised by the Member;
  • technology, hosting, CRM, communications, analytics, cybersecurity and customer-support providers acting for us;
  • auditors, accountants, lawyers, consultants and other professional advisers;
  • companies within the Nathan Group where they provide authorised operational, technology, finance, compliance or support services;
  • independent Partner Services where you request an introduction, activate the service or otherwise authorise the disclosure;
  • a purchaser, successor or adviser involved in a genuine corporate transaction, subject to appropriate confidentiality; and
  • law-enforcement bodies, courts, regulators or other persons where required by law or necessary to protect legal rights.

Service providers acting for us must process data only for the authorised purpose and apply appropriate confidentiality and security obligations. Independent recipients process data under their own responsibilities.

12International transfers

Personal data is primarily administered from the United Arab Emirates. Some technology, communications, support or group service providers may process data in other countries. Where personal data is transferred outside the UAE, we will use a transfer mechanism, contractual protection, consent or another basis permitted by applicable UAE data-protection law.

The privacy and government-access rules of another country may differ from UAE rules. You may contact us for information about the applicable transfer protection, subject to legal and confidentiality restrictions.

13How long we retain personal data

We retain personal data only for as long as reasonably needed for the purpose collected and for applicable legal, employment, immigration, tax, accounting, insurance, audit, dispute and record-keeping requirements. Retention periods vary by record type, Membership status, Authority process and legal obligation.

When data is no longer required, we will delete, anonymise or securely restrict it, unless continued retention is required or permitted by law. Backup copies may remain for a limited period until overwritten or securely deleted under the applicable backup cycle.

14Security

We use reasonable technical and organisational measures designed to protect personal data against accidental or unlawful loss, misuse, alteration, unauthorised disclosure or access. Measures may include access controls, authentication, logging, encryption where appropriate, supplier controls, staff confidentiality and incident procedures.

No online system is completely secure. You must protect login credentials, use secure devices and notify us promptly if you suspect unauthorised account activity or disclosure.

15Your privacy rights

Subject to applicable law and any lawful exception, you may request information about how we process your personal data and may ask to access, correct, update, transfer, restrict, stop or delete personal data. You may also object to certain processing, withdraw consent where processing relies on consent and ask for review of a qualifying automated decision.

Send a request to support@dynamicfreelancer.ae with the subject line "Privacy Request". We may verify your identity and request information needed to locate the relevant records. We will respond within the period required by applicable law. A request may be limited or refused where the law permits or requires us to retain or protect the data, and we will explain the applicable reason where permitted.

16Children

Memberships and Separate Services are intended for adults aged 18 or older. We do not knowingly accept a Membership application from a child. If you believe a child has provided personal data without proper authority, contact us so that we can review and take appropriate action.

17Automated processing

We may use automated tools to route enquiries, identify duplicate or suspicious activity, support security or organise application information. We do not use Website automation alone to make a final decision that produces a legal or similarly significant effect about Membership acceptance, employment, work authorisation or residence. Authorities make their own decisions under their processes.

19Changes to this Policy

We may update this Policy to reflect changes in law, our services or our data practices. The current version will show its effective date. Where a change materially affects active Members or requires new consent, we will provide an appropriate notice or choice.
